The HM employee handbook contains the full company expenses and travel policy.
When you are required to travel to a meeting/event by train then the following processes must be adhered to:
- You must book this yourself and claim the money back through expenses. Please see the employee handbook for details on claiming expenses.
- You should ensure that you are travelling to the closest station to the meeting/event to avoid excess onward travel costs.
When you are required to travel to a meeting/event by plane then the following processes must be adhered to:
- Contact HM head office as flights will be booked through the office.
- Ensure you tell head office the EXACT name that is on your passport. Tell head office which airport is the most convenient for you to depart from.
- Provide head office with details such as the times you need to be at the meeting/event.
When booking flights for staff members you must adhere to the following processes:
- Make sure you have the staff members’ EXACT name that is on their passport for booking flights.
- Make sure you know which airport the person is departing from and which airport they will arrive at. Make sure you have discussed convenient times for both departures and arrivals.
- You must then look at all airlines that fly from the requested departure location and find the cheapest flight.
- Once you have some options you should check these with the staff member and with Mark Venables or Susan Venables to approve the costs.
- Once the flights have been chosen you can book these using a company credit card. Make sure you double check all details (ie passenger name, times, departure airport, destination airport etc).
- Once booked, you must send the confirmation details to the staff member who is travelling, the finance department, and keep a copy for yourself (just in case!).
