When producing a quote/proposal for a potential client or project you must adhere to the following process:
- Contact the finance manager for a quote number.
- Use the fee crib sheet to ascertain the daily rate for the client and the days required for each quoted/proposed task.
- Once the quote is finalised add the quote number to the document.
- All quotes and proposals require final sign off from either Mark Venables or Susan Venables.
- Email the finalised quote along with a copy of our standard Terms & Conditions to the client ensuring all necessary parties are cc’d in the email including the finance manager who will update HubSpot with the quote details.
When a quote/proposal has been accepted/declined by the client you must adhere to the following process:
- Ensure the client has sent back confirmation of acceptance of the quote/proposal and email this to Mark Venables and the finance manager if not included.
- Mark Venables will then notify the account director.
- The finance manager will then:
- Close the project on HubSpot.
- Add the client/ project to the timesheet portal (if necessary).
- Add a new team to Teams (if necessary).
- Send the client an order form for signature and request finance information from the client if necessary.
- A project should not commence until a signed order for has been returned.
